AI your team will use, secured and managed for you.
Most businesses already have employees using AI, usually without rules. We assess where AI fits, roll it out securely, train every role and show you the hours it gives back, without adding headcount.
Seven phases. One partner.
Each phase builds on the last, from finding out where AI is already in use to scaling the workflows that pay off.
- Phase 1 · Assess
AI readiness assessment
Before anyone rolls anything out, we find out where AI is already being used, what data it can touch and where it would save the most time.
- Shadow AI audit: which tools your team already uses
- Data handling and compliance exposure review
- Prioritized list of use cases by time saved
- Baseline measurements for tracking ROI later
- Phase 2 · Secure
A secure AI environment
We stand up an approved AI platform your team can actually use, with your data kept inside the boundaries you set.
- Microsoft 365 Copilot, ChatGPT Business or Claude, chosen against your needs and licensing
- Access controls and data boundaries in Microsoft 365
- Sensitivity labels and sharing cleanup before AI can search it
- A written AI acceptable-use policy
- Phase 3 · Discover
Use case discovery
We work with each department to find the repetitive work AI handles well, and the work it shouldn't touch.
- Email, proposals and customer communication
- Meeting notes, summaries and follow-ups
- Research and competitive analysis
- Templates, knowledge bases and internal Q&A
- Phase 4 · Adopt
Role-based training
Licenses don't save time. People who know how to use them do. Training is built around each role's real work.
- Department and role-specific sessions
- Prompt libraries and workflow templates for your business
- Usage reporting for leadership
- Internal wins documented and shared
- Phase 5 · Govern
Ongoing AI security & governance
AI tools change monthly. We keep watching usage and access, and update policy as the tools and the rules move.
- Usage monitoring and access reviews
- Shadow AI detection
- Policy updates as tools and regulations change
- Audit-ready governance documentation
- Phase 6 · Measure
ROI & time-savings tracking
Every quarter you see what AI is actually giving back, by team and by workflow, in hours and dollars.
- Before-and-after time baselines
- Monthly time recovered by role and department
- Executive ROI reporting
- Proven workflows rolled out to more teams
- Phase 7 · Scale
Optimization & what's next
Once the basics pay off, we expand what works, retire what doesn't and keep an eye on the AI landscape for you.
- Expansion of proven workflows
- Agents and automations where they make sense
- Vendor and model reviews
- Regular strategy reviews with leadership

Small time savings add up fast.
If 40 employees each get back three hours a month from summaries, drafts and research, that's 120 hours a month, most of a full-time employee's month, without hiring anyone. We measure it so you see the real number for your business.
AI as a Service FAQ
What is AI as a Service?
It's managed AI for your business. Instead of buying licenses and hoping people use them, DataTap assesses where AI fits, sets up a secure environment, trains your team by role, governs usage and reports the time it saves, all as an ongoing service.
Which AI tools do you support?
Most clients start with Microsoft 365 Copilot because it works inside the tools they already use. We also deploy and manage ChatGPT Business and Enterprise, Claude for teams, and private AI that runs on your own hardware when data can't leave the building.
Is it safe to let AI see our company data?
It can be, if permissions are right first. AI tools can surface anything a user already has access to, so we clean up oversharing in SharePoint and OneDrive, apply sensitivity labels and set data boundaries before turning AI on.
How do you measure ROI?
We baseline how long key tasks take before rollout and track time recovered by role each month after. For example, if 40 employees each recover three hours a month, that's 120 hours back every month, reported in hours and dollars.
Do we need to be a managed IT client?
No. AI as a Service works on its own or alongside our managed IT plan. Existing managed clients get it on the same infrastructure, security tools and support team they already have.
How is this different from FormaStack?
AI as a Service helps your team adopt and govern off-the-shelf AI tools. FormaStack is our software side, where we build custom AI-powered applications around your own data and processes. Many clients use both.
